1. Because we are a government organization, we don't need to pay tax for hotel (14.75%) Just want to make sure that it is true, in the contract is written differently. – The hotel is aware that the Embassy is tax exempt.  The clause on page 1 is standard.  However, during the turn over notes from Sales Manager to the Events Manager and Accounting, they will ensure the taxes are removed during the final billing process,

2. I didn't see that the cost of payment for meals and meeting rooms was written in the contract. Is it possible to write all the details of the contract? In regards to the payment of meals and meeting room, please refer to page 4.  Due to the delegation being a larger group with specific meal requirements, the cost is shown differently.

The hotel was able to find additional meeting space for the meeting and dinner.  They have also blocked off the terrace just in case you decide to have the meeting in the space and then move dinner to the terrace. =)

Absolutely!  Here are the non-Kosher menus attached.

 

Also, I spoke with the hotel and they have informed the terrace maximum seating in full rounds is 60.  However, they are offering a more creative solution for the dinner- a more casual lounge-like dinner set up that can accommodate 65.  They could keep some of the existing furniture and add cocktail rounds in addition to about 3 full rounds.  They could also move the buffet inside to give more terrace space seating.  What do you think?

 

The Banquet Menus are used for the meeting space and the Sip and Savor Menu is for the terrace space.

I apologize for my delay in response as I was at meetings for four days last week.  However, the hotel IS aware to prepare the contract.  They do have a question:

 

in regards to the big patio are they referring to the terrace?  If so - what kind of dinner are they looking for?  Plated or buffet?  Are they looking for rounds or is existing furniture/reception style ok?  All of these factors alter the pricing for the space.

How are you? Hope you had a great Christmas!

 

There is a big delegation of high ranked officer that will arrive to NYC in June.

 

As a preparation for this visit,  three officers are coming in January to check the hotel for June, so whatever hotel we will choose for June they will sleep in on January.

 

These are all the details:

 

3 single rooms Between January 15th to 17th  - for the preparation visit

 

19 single rooms + 21 double (two beds) rooms Between June 19th to 24th

 

It will be great if you have availability for us and also what will be the rate for each visit (the one in January and in June) in the Hotel NYC MARRIOTT EAST SIDE.
